The interview is where you separate a bookkeeper who will protect your business from one who will create problems. Many owners do not know what to ask, so they default to vague questions and end up choosing on gut feel. The right questions reveal competence, reliability, and fit before you hand over your financial records. Here are the ones that matter.
Questions about experience and qualifications
Ask how long they have been doing bookkeeping and whether they have worked with businesses like yours. Industry familiarity matters, because the financial patterns of a contractor differ from those of a retailer or a service firm. Ask about certifications and ongoing education, since tax and accounting rules change and a serious professional keeps current.
Questions about process and tools
Find out what software they use and whether it fits what you already have. Ask how they handle monthly reconciliation, how they catch and correct errors, and what reports you will receive and how often. A clear, confident answer about their process tells you they have a real system. Vague answers are a warning.
Questions about communication
Ask how often you will hear from them and through what channel. Ask how quickly they respond to questions and who you contact if your regular bookkeeper is unavailable. Misaligned communication expectations are one of the most common reasons these relationships fail, so settle this before you start.
Questions about security and trust
You are giving this person access to sensitive financial information, so ask directly how they protect your data, whether they carry insurance, and whether they will sign a confidentiality agreement. Ask for references from current clients and actually call them. A trustworthy professional expects these questions and answers them without hesitation.
