The Monthly Bookkeeping Checklist Every Small Business Needs

Consistent bookkeeping is the difference between a business that always knows its numbers and one that scrambles every spring. The work is not complicated, but it has to happen on a schedule. Here is the monthly checklist that keeps small business books current, accurate, and tax ready.
1. Categorize every transaction
Review every bank and credit card transaction for the month and confirm it is assigned to the correct account in your chart of accounts. Split transactions where needed. Flag anything you are unsure about for follow up rather than guessing.
2. Reconcile every account
For each bank account, credit card, loan, and merchant account, compare the ending balance in your software to the statement and resolve any difference. If the reconciliation does not tie out, fix it before moving on. Unreconciled books are unreliable books.
3. Review accounts receivable
Run an aging report and follow up on invoices that have passed their due date. Money you have earned but not collected is not really earned until it arrives. A consistent collections cadence keeps cash moving in.
4. Review accounts payable
Make sure all bills received during the month are entered and scheduled for payment. Catching unpaid bills before they become late avoids fees and protects vendor relationships.
5. Process payroll and remit taxes
If you run payroll, confirm it processed correctly, verify that payroll taxes were withheld and remitted on schedule, and reconcile payroll liabilities. Payroll mistakes are among the most expensive errors a small business can make.
6. Capture receipts and documentation
Make sure every transaction over the IRS threshold has supporting documentation attached or filed. Doing this monthly takes a fraction of the time it takes to recreate later.
7. Produce and review financial statements
Generate a profit and loss statement and a balance sheet for the month. Compare them to prior months and to your budget if you have one. The reports are not just for your accountant. They are management tools that should change how you run the business.
